POSITION TITLE:   Administrative Assistant / Marketing
JOB CLASSIFICATION:   Salaried, Non-Exempt
LOCATION:   Kirkland, WA

PRIMARY FUNCTION

The Administrative Assistant coordinates with the different departments within Icom America to ensure timely delivery of solutions to our customers. Administrative responsibilities, project coordination skills, and product knowledge make possible the success of the production schedule, which enables Icom America to achieve its goal as a solutions provider.

JOB RESPONSIBILITIES

  1. Product Pricing: Manage all Icom America partner products including all systems components. Prepare price sheets and make sure all gross profit goals are met, manage inventory, verify all costs, make sure E1 is updated with part numbers, inventory and costs; update databases and spreadsheets accordingly.

  2. Product Ordering: Prepare purchase orders and ensure products are ordered; provide timely and accurate communication to customer; release backorders; track production schedules to ensure deadlines are met; ensure part information is accurate with corresponding description; become familiar with partner product companies; troubleshoot order entry problems.

  3. Quotes. Receive IAS quote from internal Business Manager, verify for accuracy, and add or adjust missing components; maintain pricing for items not in E1 system; coordinate and track process flow of quotes; formalize communications for professional output. Coordinate large system orders with multiple departments from order entry to shipment.

  4. Other duties and projects as assigned.

JOB REQUIREMENTS

  1. 3+ years of applicable work experience. Two year degree or certification in applicable field preferred.

  2. Must be able to work independently with minimal supervision. Demonstrate good decision making and sound judgment.

  3. Ability to prioritize fluctuating workload; execute tasks through completion; and adapt to changing priorities.

  4. Excellent interpersonal, oral, and written communication skills. Receive and diffuse customer issues while maintaining a positive attitude.

  5. Superior organizational skills; demonstrated attention to detail, initiative, and follow through are required.

  6. Project coordination experience; show active interest and understanding on technical products.

  7. Computer skills - knowledge of MS Office including Word, Excel, and Outlook; SharePoint, E1; Adobe Professional.
